Overall Purpose of the Role

We are seeking a proactive and adaptable Personal Assistant to join the Front Office Treasury team. This is a dynamic, "float" capacity role designed to provide seamless coverage across the department during a period of organizational change.

Unlike a traditional 1:1 PA role, you will act as a high-level gap-filler, supporting multiple Managing Directors and providing critical administrative stability. You will be the "glue" that keeps the front office running smoothly, stepping in to support various stakeholder groups as team needs shift due to secondments, leave, or reduced hours within the existing PA structure.

Key Accountabilities

  • Complex Diary Management: Proactively managing heavy and ever-changing calendars for multiple MDs, ensuring efficient scheduling across different time zones.

  • International Travel & Logistics: Coordinating end-to-end global travel itineraries, including flights, accommodation, visas, and ground transportation.

  • Financial Administration: Managing the full lifecycle of expenses via Concur and overseeing invoice/Purchase Order (PO) processes through Coupa.

  • Stakeholder Coordination: Acting as a professional gatekeeper and point of contact for internal and external stakeholders, ensuring timely communication and rapport building.

  • Operational Support: Coordinating room bookings for high-priority meetings and providing general administrative oversight for the Front Office environment.

  • Risk & Compliance: Maintaining a keen eye for operational risk, ensuring all bookings and expenses adhere to strict banking regulations and internal Barclays policies.

Key Skills & Experience

Experience:

  • Multi-Stakeholder Support: Proven experience supporting multiple senior executives simultaneously (ideally in a float or team assistant capacity).

  • Adaptability: A track record of stepping into unfamiliar teams and quickly gaining the trust and rapport of new stakeholders.

  • Technical Proficiency: Hands-on experience with Concur (expenses) and Coupa (invoices) is highly desirable.

  • Industry Context: Experience within Banking or Financial Services is preferred, specifically within a fast-paced Front Office environment.


Skills:

  • Exceptional Organization: Ability to prioritize a high volume of tasks across different leadership styles without losing attention to detail.

  • Proactive Problem Solving: Identifying potential diary conflicts or travel issues before they arise.

  • Discretion & Professionalism: Handling sensitive information with the utmost confidentiality.

  • Communication: Strong interpersonal skills to navigate a high-pressure trading/treasury floor.
