Personal Team Assistant

Contract length: 6 Months

Hybrid: 2 days in the office

Overall purpose of role:


To provide a centralised hub of support to the Directors across the Function including providing diary management where required and administrative support. Provide PA and general administrative assistance to approximately 7/8 Directors within PPCR, with a focus on diary management and ad hoc requests as well as ‘Champion’ support to all grades with know-how advice and guidance.


Key Accountabilities:

  • Primary point of approximately 7/8 PPCR globally based Directors

  • Diary and schedule management where required by Directors, including booking appointments, conference calls/VCs and travel

  • Book travel arrangements, plan itineraries, visas, foreign currency, medical requirements etc as needed. (Directors only)

  • Process Expenses and deal with any expense or corporate card related queries (Directors only)

  • General ad hoc business duties for Directors including; book conference rooms, conference calls and arrange video conferences when required

  • Create and maintain team distribution lists where applicable

  • Act as ‘Champions’ to all grades in PPCR with support, know-how advice and guidance on Barclays systems

  • Offer onboarding support to new team members but helping Directors with set up process, and offering time to new joiners to show them the systems and help with orientation.

  • Maintain confidential and sensitive information; must act with discretion and integrity at all times

  • The role holder will be expected to undertake a wide range of other administrative duties, such as raising POs, processing and approving of invoices


Essential Skills:

  • Strong coordination and organisational skills - ability to multi-task, plan and deliver work to deadline, prioritise workload accordingly and work flexibly to meet business needs. Ability to work unsupervised and independently and turnaround requests quickly under pressure.

  • High-level knowledge of MS Office (Outlook, Word, Excel), particular focus on Excel proficiency.

  • Proven ability to manage multiple forward-looking calendars.

  • Must be able to use initiative and prioritise own work and meet deadlines as well as being a valid team player who exhibits the Barclays values

  • Ability to prioritise conflicting work demands

    Effective time management and flexibility to reallocate demands as issues arise.
